When to use this template

Use this when a company-wide hiring freeze has halted the role. This is distinct from a single role being paused — it usually affects every open search and often tracks with a downturn, funding delay, or restructure.

Hiring freezes are public news in most companies within a week. Candidates will read the signals; denial in your rejection email won't help. Be matter-of-fact.

Avoid promising a timeline you can't commit to. 'We expect to restart hiring in Q3' becomes a broken promise if the freeze extends. 'We'll reach out if and when we're hiring again' is safe and honest.

Considerations

  • Do not speculate about restart timelines you don't control.
  • Release the candidate to pursue other opportunities without guilt.
  • If the freeze is public, you can reference it briefly — don't try to hide what's already known.
  • Update your careers page so applications stop arriving into a closed pipeline.
